Set up package tracking in BuildingLink by turning on the Package/Receiving feature, creating package types and storage locations, choosing how residents get notified (email, text, app), and testing the full flow: log a package, trigger a notice, record pickup, and confirm the resident sees the status change.

 

Where to turn it on and who can do it

 
  • Admin access required: a BuildingLink admin (often manager or concierge supervisor) must enable and configure package settings.
  • Go to the Admin area, then look for Packages / Receiving (wording varies by property setup). If the module is missing, it may be a subscription feature and BuildingLink Support must enable it.

 

Core configuration (do this in order)

 
  • Define package types: set common carriers and categories (USPS, UPS, FedEx, Amazon, food delivery). This improves reporting and staff speed.
  • Create storage locations: examples: Front Desk Shelf A, Package Room Rack 3, Locker Bank, Refrigerated. Staff must pick one every time.
  • Resident matching rules: confirm units and resident names are current. If BuildingLink supports it, enable prompts for similar names to avoid mis-delivery.
  • Notification methods: choose what triggers a notice (on package entry, on locker assignment, reminders after X days). Enable email and, if available, SMS/text and push notifications.
  • SMS requirements: residents usually must have a mobile number on file and may need to opt in. If texts fail, it’s almost always missing/invalid numbers or opt-in status.

 

How to log a package and send pickup notifications

 
  • Open Packages and select Add / Log Package.
  • Enter unit, select resident (if prompted), choose carrier, add notes (size, signature required), and assign a location.
  • Save and confirm Send Notification is enabled (some setups auto-send on save).
  • For pickup: search the package, choose Picked Up, record date/time and who picked up (resident, guest, staff). If your building requires it, capture ID check or signature.

 

Common mistakes that break notifications

 
  • Resident contact info incomplete: no email, wrong phone, or old resident still tied to the unit.
  • Notifications disabled at resident level: some residents turn off emails/push in their portal/app settings.
  • Package logged to the wrong unit: the right person never gets the notice.
  • Carrier/location not required: staff skip details, making packages hard to find and increasing “lost” claims.

 

Testing and validation (assume requirements are already met)

 
  • Pick one test unit with a resident who has confirmed email and phone and uses the app.
  • Log a test package and verify the resident receives email, text (if enabled), and sees it in the portal/app package list.
  • Mark it picked up and confirm the status updates and the package disappears from “awaiting pickup.”

  • Package module not visible in Admin.
  • Emails not sending for any resident (system-wide).
