In Buildium, create an email template in the right module (Association, Accounting, or Resident Center), insert the correct merge fields (placeholders like owner name, unit, balance, due date), save it, then send a test to yourself using a real association record to confirm every field fills in correctly before sending to homeowners.

 

Where to find email templates (most common paths)

 
  • Association notices (HOA-wide emails): Go to Associations → select the association → look for Communications or Email tools (wording varies by role/settings) → Templates.
  • Resident Center / portal messages: Go to Resident Center (or communications area) → Announcements / MessagesTemplates if available.
  • Accounting notices (statements, late notices): Go to Accounting → find the related workflow (statements/charges/collections) → look for Email settings or Templates.
  • If templates are not visible, the account usually lacks permission. Ask an admin to enable communications permissions for the user role.

 

Create the template (simple, reliable setup)

 
  • Choose New template and name it clearly (example: “HOA Late Dues Notice v1”).
  • Set a consistent subject line (example: “HOA Dues Reminder for {PropertyAddress}”).
  • Write the body with short paragraphs and one clear action (pay, contact, deadline).

  • Merge fields are placeholders that auto-fill from Buildium records (owner, unit, ledger, association).
  • Use the Insert merge field button/menu inside the editor. Avoid typing field codes manually.
  • Only use fields from the same context. Example: an association email may not support ledger balance fields unless it’s an accounting notice.
  • Common useful fields: Owner/Resident name, Property address or unit, Association name, Amount due, Due date, Portal link, Manager name.

  • Blank merge fields: the contact record is missing data (no email, no unit, no mailing name). Fix the record first, then resend.
  • Wrong recipient type: sending to tenants instead of owners. Confirm you are filtering by Owners (or Board) before sending.
  • Using “amount due” in a general blast: balances are ledger-based and may require an accounting notice workflow.
  • Formatting breaks: paste text as plain text, then reformat inside Buildium.

 

Test, validate, then send

 
  • Send a test to yourself using a real owner/unit that has complete data.
  • Confirm: name fills correctly, unit/address is correct, amounts/dates (if used) match the ledger, links work.
  • Do a small pilot (example: one building) before sending HOA-wide.

  • Emails not delivering: check the contact’s email, opt-out status, and any bounced email logs if available.
  • Merge fields missing: switch to the correct template type/context or add the missing data to the record.
